How do you create a system to keep your space clean?

Whether you have a business or a home, it is apparent that you must maintain your space for it to be safe and hospitable. We all desire a fresh aesthetic at home; however, creating a clean, welcoming, and safe area for your customers to do business with you in a commercial facility is essential. In either case, you and your guest will enjoy walking into a clean space. It would help if you asked yourself a few questions to achieve this consistently. Who? What? How?

  1. The essential part of creating an effective cleaning system is to figure out who will be involved in cleaning. You have several situations to consider here. First, you can delegate within your family or organization (DIY approach). There are pros and cons to this. Pro: potentially lower cost. Cons: Less experience, less accountability, and less time for you to do what you need to do. You may do better with the following option when you add in opportunity cost and time spent managing. The next option is to hire a bonded and insured professional to provide the necessary cleaning solution for your facility. You will have to pay more for this solution because it will be an organization. Keep in mind what they must pay for and think about what level of cleanliness you want. If it sounds too good to be true, it probably is. Their price must include insurance, management, supervision, and labor (you may want to offer your supplies). The last option that you may consider is to involve an individual contractor that is much cheaper. This option is a hit-or-miss option. There are some logical threats you must consider. How good is this person? What happens if something happens to this person or they need a vacation? Can I trust this person with no insurance? We do not recommend this option due to the number of threats present; however, if you find the right one, it can be very effective as long as they consistently show up, do every task well, and are trustworthy.

  2. Once you know who will be responsible for cleaning tasks, you must also know what those tasks are and how you would like them done. You will need to see if you want a complete head-to-toe deep clean and ask for a task list. You may choose them to come in and clean something specific that you don’t want to clean in the house while ensuring that employees or family members clean behind themselves in other areas. There are several ways to do this. The primary objective is to complete each task and to identify who is responsible.

  3. The last portion of your system will include documenting how you would like each task carried out. However, even when you are doing it yourself, it helps hold yourself accountable to a standard over time. This method should state who does what tasks on what days and what the standard is. If you outsource these tasks, it helps keep them honest about what they are supposed to do for you.
